Use PDFs for Downloadable Documents

  • Adobe Acrobat PDF is the only acceptable document download format. Excel and Word documents are not accessible to everyone, and pose a security risk
  • When including a PDF use the File Resource Document section. Provide a brief summary of what is on the PDF in the Description of the Resource of the Resource and include keywords in Search settings
  • PDF size and download time will automatically be displayed on the page (if the download style is applied to a link)
  • PDFs should be created using version 6 or above of Adobe Acrobat Writer so that they can be made accessible by adding tags automatically. Tags contain information about document structure and substantially increase accessibility. They store information such as head locations, hyperlinks, and alternative text descriptions for graphics. Assistive technology interprets these tags and displays the information on a variety of platforms, from screen readers to Braille output devices.
  • When creating PDFs, save them as version 4
  • The maximum size for a PDF attachment is 300K if there is no HTML format alternative for the information
